Parent Jobs
President - Board Position
This is a weekly commitment.
Duties and Responsibilities:
Presides at all board meetings; has no vote, except as a tie-breaker.
Spends one observational day each year in the classroom.
Acts as parliamentarian, familiar with Robert’s Rules of Order.
Assists reps. with assigning jobs and committees and acts as a consultant when necessary.
Main point of contact with the facility representative.
Keeps building keys; locks and unlocks school in the event of the teacher’s absence.
Sees that the bylaws and policies are enforced.
Negotiates and signs documents as a representative of the school, including legal documents, building lease and agreement, and teacher contract.
Helps ensure board members are meeting their obligations.
Organizes and facilitates orientation each August.
Meets with the teacher on a regular basis.
Creates agenda and facilitates board meetings and parent meetings.
Attends monthly PCPO president council meetings as available.
Participates in teacher contract negotiations and works with the treasurer to create the budget each year.
Updates and monitors financial management practices. Checks bank statements on a regular basis, and provides a second signature for checks.
Participates in conflict resolution procedures as needed.
Coordinates new board member recruitment each year.
Coordinates preschool evaluations, site evaluations and financial audits as needed.
Vice President - Board Position
This is a monthly commitment.
Duties and Responsibilities:
Assumes the duties of the president, if he or she is unable to fulfill them.
Ensures labor law poster is current and posted at the school.
Makes sure we follow all “green” guidelines on the eco-certification checklist. Posts educational signs as needed.
Ensures all families have immunization forms in their files at the school.
Completes and submits yearly immunization report to the Multnomah County Health Department.
Participates in contract negotiations and creating the budget each year.
Ensures handbook is updated each year and distributed at orientation and when new students start during the year.
Treasurer - Board Position
This is a weekly commitment.
Duties and Responsibilities:
Pays all necessary expenses (rent, salary, PCPO fees, supplies, etc.).
Keeps records of all credits and debits.
Files quarterly reports on payroll tax.
Submits 990 tax form, nonprofit renewal and annual report.
Prepares monthly financial statements and sends to the board each month.
Have books available for audit by board-appointed committee at the beginning of the school year and the end of the school year.
Participates in contract negotiations and creating the budget each year.
Provides financial reports at each board meeting.
Monitors application, enrollment and monthly tuition payments and sends reminders to families who are late.
Secretary - Board Position
This is a weekly commitment.
Duties and Responsibilities:
Takes minutes at the parent and board meetings. Make four copies for the files: the president’s, secretaries, school file, and bulletin board.
Does any typing or projects needed by the executive board.
Prepares parent handbooks.
Communicates to parents via email, app/chat/text feature and hard copies of events, parent meetings and other important information.
Fills out and submits PCPO insurance paperwork for each event.
Checks the CPP mail each week, opens mail and delivers mail to the appropriate person.
Membership - Board Position
This is a weekly commitment.
Duties and Responsibilities:
Plans a strategy for achieving and maintaining full enrollment. Works on posters and news articles.
Sees that an adequate supply of applications forms are maintained and mailed out as requested by people interested in joining the school. Keeps name, address, phone, and birth date of child of those to whom an application has been sent.
Keep an up-to-date list of those enrolled in school, including all pertinent information.
Keep track of which forms have been submitted and fees paid.
Types and distributes family contact list. Revises as needed.
Coordinates and hosts all membership open houses with support from other board members.
Collects and files all family emergency release and background check forms.
Ensure teacher Elizabeth has copies of all emergency release forms.
Fundraising - Board Position
This is a monthly commitment, board position.
Duties and Responsibilities:
Research and implement fundraising opportunities for the preschool throughout the year in order to meet the fundraising goal for the year, as indicated in the yearly budget.
Present fundraising ideas to the board for approval and coordinate with the secretary to ensure any extra insurance or other unexpected rules are taken care of before the event.
Inform the preschool community of fundraising events. Create sign up sheets if additional volunteer support is needed.
Create and distribute any donation documents as needed and distribute tax receipts if needed.
Collect money and turn it in to the treasurer as soon as possible.
Report progress towards CPP’s fundraising goals to the board and the preschool community throughout the year.
Attend monthly board meetings.
Class Representative -Board Position
This is a weekly commitment, including monthly board meetings.
Duties and Responsibilities:
Maintain the parent volunteer Google calendar and post the upcoming volunteers for the current week and the next week on the white board at school.
Act as point-of-contact for the class. Report all grievances, non-compliance or other necessary information to the board.
Assist with conflict resolution as outlined in the parent handbook.
Periodically checks in with families regarding school jobs, keep parents informed of their duties in these roles help see that jobs are completed as described.
Ensure that all families have signed up for two theme room changes.
Attend monthly PCPO meetings and act as a communication link between PCPO and the preschool.
Attend monthly board meetings.
Organize periodic get togethers at the school, during school hours to build community, work on projects, etc.
Marketing
This is a weekly commitment.
Duties and Responsibilities:
Maintain and improve the school website.
Post weekly on the CPP Facebook page.
Organize and store photos on the CPP Google Drive.
Keep track of photo release requirements and assure these are respected.
Seek creative ways to increase the preschool’s presence online through various sites such as Yelp, Google, Nextdoor, Instagram, etc.
Coordinate flyer distribution at critical recruitment times during the year.
Coordinate our participation in the preschool fair and any other events to increase our presence in the community.
Closet Keeper
This is a monthly commitment.
Duties and responsibilities:
Keep all closets and storage organized and clean: keep items in appropriate areas, reconfigure and organize, dispose of any broken, tired, outdated items, as needed throughout the year.
Classroom storage closet

Big Room Closet
Outside Storage
The classroom storage closet should be done approximately once a month.
All other storage once or twice during the school year as needed.
This job can be done during the school day, on theme room change days or another time as coordinated with the teacher.
Social Events Coordinator
This is a three-four times yearly commitment.
Duties and responsibilities:
Coordinate at least three social events each year with Teacher Elizabeth and the board.
Possible events - Halloween Party, Solstice Party, potlucks, end of year party.
Ensure PCPO event forms are filled out.
Classroom Helper
This is a weekly commitment working closely with Teacher Elizabeth.
Duties and Responsibilities:
Swap out classroom materials, if needed, and keep classroom items clean and fresh.
Sensory bins (monthly)
Dress up clothes (monthly)
Library books (monthly)
Art supplies (weekly)
Assist with art displays and bulletin board maintenance. (monthly)
Costumes and Sewing
This is a monthly commitment.
Duties and Responsibilities:
After each theme room change, take all dress-up clothing, scarves, etc. Check for tears and loose parts, mend these as needed.
Once this is done, wash the clothing and return to the storage closet.
Keep costume storage boxes organised and labeled by theme or clothing type.
Discard any items that are inappropriate or worn out.
Be willing to take on other mending or simple sewing projects that might enhance our classrooms and school.
Please feel free to discuss ideas with the teacher or board members. Creativity is welcomed and appreciated.
Photographer and Displays
This is a monthly commitment.
Duties and Responsibilities:
Photographer
Take photos at all school events i.e. the Trike-a-thon, parties, and field trips. Take photos in the classroom and the occasional group photo.
Share photos digitally with the social media coordinator and with parents of individual children.
Displays
Collaborate with teacher regarding creative displays of the children’s art. Implement displays in ways that express our appreciation of their work and beautify the school.
Change these displays monthly or more and return displayed art to the original artist.
Keep entry bulletin boards fresh, posting and later removing notes, notices and generally beautifying the area. Bring your creativity!
Maintenance and Playground
This is a monthly commitment.
Duties and Responsibilities:
Assist with any maintenance needs in the classroom.
Ensure the playground area looks tidy.
Organize playground work parties as needed to spread bark chips.
Field Trip Coordinator
This is a three-four times yearly commitment.
Duties and responsibilities:
Coordinate a few field trips each year with Teacher Elizabeth and the board.
Ensure parents are notified of the field trips and have filled out the field trip permission form.
Ensure we have proof of a current drivers’ license and auto insurance if anybody is transporting children other than their own.
Submit special event form for each field trip for insurance to PCPO.
Laundry and Cleaning
Access to washer, dryer and dishwasher required.
This is a weekly commitment.
Duties and Responsibilities:
Each week pick up laundry and take it home for washing. Return to school washed, dried and folded.
Prior to the start of class, place clean laundry in proper cupboard and storage areas.
School will provide environmentally friendly laundry soap. Please do not use chlorine bleach.
Take home toys and utensils on an as needed basis. Clean them appropriately, make sure they are dry before returning to school.
Place items back into closet or classroom.
